
The mistake most owners make is treating Cyprus business tax as something that happens at year-end. From 1 January 2026 the company pays 15% on its taxable profit, up from 12.5%. Taxable profit depends on what you can prove, not on what you spent. A cost with no paper behind it is a cost the Tax Department can disallow.

1. Separate the company bank account from your own on day one
Every later record depends on this one. When the company pays for something from a personal card, or you pay yourself casually from company funds, the books fill up with items nobody can classify. Open the company account first, route every sale and every cost through it, and treat it as the single source of truth.
Opening the account can take time, so start early. Official processes in Cyprus are paper-heavy and in-person. Expect appointments, certified copies and patience.

2. Apply a simple rule to every cost: company name, company purpose, written proof
Most guides skip this decision rule. Before you log any cost, ask three questions. Is the invoice made out to the company rather than to you personally? Was the cost incurred to earn the company's income? Do you hold a written invoice or receipt for it? If any answer is no, treat the cost as personal until proven otherwise.
Take a laptop bought on your personal card, with the receipt in your own name. The company did not buy it, so the company has no clean claim. Buy it through the company instead, or have the company reimburse you against an invoice issued to the company, and the trail stays intact.
3. Keep sales invoices in a numbered sequence
Income is the other half of profit. Issue every invoice from one numbered sequence, keep copies, and match each one to a bank receipt. Gaps in the numbering invite questions you would rather not answer in a hurry.

4. Write down what you pay yourself, and how
Owners often blur salary, dividends and loans from the company. Each has a different tax result, and each needs its own record. A salary needs payroll records. A dividend needs a board decision and a date. A loan needs its terms written down.

- The document that authorises it
5. Store the company's decisions in one folder
Board minutes, director appointments, shareholder changes and the company's filings at the Registrar belong together. The Department of Registrar of Companies holds the public side of this. Your own folder holds the signed originals and certified copies.
Certified copies matter because many Cyprus institutions still want paper. Keep a scanned version of each, and know where the original sits.
6. Record where management and control actually sit
Almost no competitor page mentions this record. A Cyprus company is taxed based on where it is managed and controlled, so the evidence of where decisions get made counts. If you relocate as well, your own presence becomes part of that evidence.
Keep dated records of where each board decision was made and who attended. Keep your travel dates too. 7. Diary the filing and payment dates, then confirm them
Cyprus companies deal with the Tax Department through its online portal. The department sets the dates for returns and payments, and those dates change over time. Do not rely on a date you read in a blog, including this one. Confirm the current dates on the Cyprus Tax Department website or with a licensed Cyprus adviser. Then add them to your calendar with a reminder well ahead.
